Job Title: Community Education Athletic Planner
Department: Community Education
Reports to: Community Education Athletic and Facilities Coordinator
The incumbent, under general direction, is responsible for planning and coordinating Community Education athletic programs by promoting activities, overseeing volunteers and coaches and acting as a liaison to the community.
Essential Duties and Responsibilities
The Community Education Athletic Planner, under the supervision of the Community Education Athletic and Facilities Coordinator, is responsible for providing support to Community Education programs. This support includes, but is not limited to:
Planning, organizing and coordinating Community Education athletic programs.
Assisting in developing, reviewing, editing and distributing the Community Education and related marketing materials and distributing catalogs, as needed.
Promoting Community Education and Forest Lake Area School district classes and activities.
Acting as a liaison to the community, Forest Lake Area School district and the Community Education department.
Follow up on registrations and requests/updates of class lists and team rosters.
Provides communication with league coaches regarding schedule updates, support needed and confirming officials for leagues that use them.
Recruits and oversees instructors, coaches, officials, volunteers and course participants.
Supervises groups using school district facilities, ensuring proper authorization of space/equipment usage and proper respect for authority while on school district grounds.
Assist with equipment inventory items and replace equipment as needed (ie. volleyball nets, standards, basketballs, etc.).
Maintaining a variety of standard databases regarding programs, registration, schedules, facility use, equipment and related information. Producing standard and special reports regarding department operations, as needed.
Assist with communication with coaches and coordinators from other schools for middle school sports.
Assist with sports contest setups, official confirmations, communicate with families schedule updates/changes, and transportation needs.
Communicate with Community Education and district staff regarding program updates, needs and requests.
Assisting with updating and maintaining district and Community Education websites including Eleyo and SportsEngine.
Provide excellent internal and external customer service by assisting and communicating with Community Education coordinators, district staff, community members, students and/or parents with program registration, scheduling, cancellations, rescheduling and questions for all Community Education programs; with a primary emphasis on athletics and youth and adult programs.
Supervising and monitoring the Community Education main entrance when the Administrative Assistant to the Director of Community Education is not available.
Monitoring the main Community Education phone line when the Administrative Assistant to the Director of Community Education is not available.
Other duties as assigned.
Education, Skills and Experience
High School Diploma or equivalent (GED) and one or more years of previous athletic program planning experience; or an equivalent of education and experience sufficient to successfully perform the essential duties of the job, such as those listed above. Strong organizational and people skills – especially in the area of customer service; clear, professional communication skills; experience with registration systems, Google Suite including Drive, Sheets and Docs preferred.
Benefits and Pay:
Starting hourly rate is $19.11 with opportunity for step increases per the General Benefits agreement with sick time and benefits.
Schedule for 2021-2022
This work position is 8 hours per day, 5 days per week for 52 weeks (260 days).
